Who this article is for: Business Portal administrators issuing Employee Benefit cards to their employees, whether one at a time or in bulk.
What you need before you start
To send a card to an employee, you only need their name and email address
You can create and send an order without naming a recipient straight away. Issue the card to your own email address instead, and allocate it to an employee later. Don't activate the card yourself: once a card is activated, it's tied to whoever activated it and can't be reassigned to someone else.
Issuing a small number of cards (1 to 10)
- Log in to the Business Portal.
- Navigate to Employee Benefits.
- Select New Order.
- Enter each recipient's name, email address and card value.
- Review and confirm your order.
Issuing in bulk (more than 10 cards)
For larger batches, upload a spreadsheet of recipients instead of entering them one by one.
- Log in to the Business Portal.
- Navigate to Employee Benefits.
- Select Bulk Order and download the template file.
- Fill in the template with each recipient's name, email address and card value.
- Upload the completed file and review the order before confirming.
Deleting a draft order
- Go to Employee Benefits, then Draft Orders.
- Select the (...) under Actions for the order you want to remove.
- Select Delete.
Completed orders can't be deleted, since accurate records need to be kept in line with regulatory requirements.
Customising the recipient email
Setting the subject line and header
You can personalise the subject line and header of the email your employees receive with their card. Select Customise Email from the order screen before you send. This applies to the whole order, so every recipient gets the same subject line and header
Adding a personal message to a card
When entering card details, you can add a different message for each recipient in the Recipient Message field, or leave it blank. This is separate from the email subject line and header, and can vary card by card within the same order.
Adding a reference
Use the optional Reference field to add a client or company reference to a card, making it easier to match and track orders in your records.
Troubleshooting
I can't upload my file for a bulk order
This is usually a file format issue. Make sure you are using the downloaded template without changing its column headers, save it in the same file type it was downloaded in, and try again. If it still fails, create a new copy of the template rather than editing the original repeatedly, since files can occasionally become corrupted.
Why can't I send cards to my employees?
If the option to send cards is greyed out, it's usually one of three things:
- Your account is still being verified. If you see a blue banner in your Business Portal saying your account details are being checked, verification is still in progress. See Business verification (KYB): timing, documents and status for what to expect and how long this takes.
- You don't have enough balance to cover the order. Select Continue to Payment in your draft order to pay by card or generate an invoice, then add funds before issuing the cards.
- A recipient's email address is missing. We need at least an email address for each recipient before an order can be sent. Add any missing email addresses to your draft order and try again.
