Business Portal users tagging transactions with customer or department codes for accounting purposes.
What these codes are for
Accounting codes categorise transactions for financial reporting purposes, typically based on expense types or income categories.
- Customer codes are used to identify transactions associated with external clients, specific projects, or jobs. They're particularly useful when you need to track costs that will be billed to these external parties.
- Department codes, on the other hand, categorise transactions according to your organisation's internal departments or cost centres.
Once customer or department codes are set up, your employees can assign the appropriate code to each transaction using the CleverCards mobile app. These codes will then be visible in the Transactions section.
Adding a Customer Code
Business Portal
- Go to Customer Codes in the Business Portal.
- To add codes in bulk, download the CSV template, fill in your Customer Code list, and upload the completed file.
- To add a single code, you can also add it directly against a transaction without using the CSV.
CleverCards app
- Log in to the CleverCards app.
- Tap the Business tab to view your Business Cards.
- Select the Business Card, then the transaction you want to code.
- Choose Customer Code, then choose or search for the code and select it.
